Welcome to Care Connect
NDIS Care Management,
Automated
Run a compliant NDIS business without the admin.
One platform for the whole provider — Participants, Rostering, Shifts, Medications, Incidents, Risk, Behaviour, Complaints, Health, HR, Training, Policies, WHS, Compliance, Audit, Finance and Reporting — with AI doing the reading, drafting and cross-checking your team shouldn’t have to.
And the stakeholders outside your organisation — support coordinators, behaviour support practitioners — get their own controlled access to only the participants under their care.
Your support workers write their shift notes by speaking, in any of 50+ languages — translated into clean Australian English, structured into the four NDIS sections, and always confirmed by the worker before it is submitted.
AI drafts. A person decides.
Everything the AI extracts, transcribes, drafts or suggests is put in front of an authorised person for review. Nothing is altered, changed or saved to any participant, staff, compliance or financial record without a human checking it first.
No credit card required. Full platform access for 14 days.
What Care Connect Is
The whole operation, in one system
Care Connect is an NDIS care management and compliance platform for disability support providers. It covers thirty operational departments — from a participant’s first Service Agreement through to the audit pack — so the evidence a provider needs is captured as the work happens, not reconstructed afterwards.
It is built around a simple observation: in most services the information already exists. It is just scattered across spreadsheets, inboxes, paper files and people’s memories — which is exactly where it fails you at audit, and exactly where a participant’s needs get missed.
What It Is Built For
Four problems it exists to solve
Support Workers and Paperwork
Support workers came into support work to work for vulnerable people, not forms. Every hour spent re-typing what already happened can be time taken from the participant.
Audits that become projects
When evidence is scattered, an audit becomes weeks of assembly. When it is captured as the work happens, it becomes an export.
Things that quietly expire
Screening checks, certifications, plan end dates and service agreements lapse silently. Noticing late costs participants their continuity of support, and costs the provider its registration.
Knowledge held by one person
Every service has someone who “just knows” how it works. Care Connect puts that into documented workflows, so the service does not just depend on their care team.
The AI
What the AI actually does
Care Connect’s AI reads documents and drafts text. It does not make decisions. Everything it produces is a draft, an extraction, a transcription or a suggestion, put in front of a person who decides.
Reads plans and agreements
Upload a Service Agreement or NDIS Plan and it extracts plan start and end dates, plan manager, support coordinator, funded support categories with their dollar amounts, and the participant’s goals — then suggests how those goals map across the system.
Reads certificates
Upload a worker’s certificate and it extracts the qualification name, issuer, certificate number, issue and expiry dates, then suggests which competency units it covers — including mapping against the HIDPA matrix.
Suggests the roster
“AI Allocate” produces ranked worker-to-shift suggestions with its reasoning shown, weighing participant compatibility, competencies, availability, award-rate cost, travel distance, language and gender preferences, and fatigue limits.
Structures an incident
Write what happened in plain words. It extracts the people, time, type and severity, and an AI Risk Panel suggests a severity rating and recommended immediate actions — so a reportable incident is escalated, not missed at the end of a long shift.
Drafts your policies
Policy drafting works in your organisation’s own configured voice, and complaint intake can be lifted from an uploaded email or letter. An author always edits before anything is published.
Reads your risk register
Upload an existing risk register as a PDF, Word file, spreadsheet or even a photo, and the roles and risks are extracted for review — so moving onto the platform does not mean retyping years of work.
The most-used feature on the platform
Shift Note Helper
A worker taps the Smart Voice microphone and simply describes the shift — speaking in any of 50+ languages. The Helper transcribes and translates to Australian English, then structures it into the four NDIS sections: Shift Description, Barriers, New Skills Learnt and Goals Achieved.
Incident detection flags likely incidents in the narrative and prompts the worker to file an Incident Report — it cannot file one itself. A shift note can also pre-fill compliance forms such as a Seizure Report, Daily Staff Support Sheet or Skin Integrity Assessment.
Every draft must be read, corrected and confirmed before it is submitted. Goal links and the full edit history are retained as audit evidence.
Where the AI stops
Automation with a hard boundary
The review requirement is not advisory. Care, safeguarding, workforce, compliance and financial decisions each rest with an authorised role, and the platform records who approved what, and when — so the reviewer is part of the evidence, not just the outcome.
No AI administers, charts or decides medication outcomes. It cannot approve a dose, set or override a PRN cap, or record an administration. Where a prescriber’s chart is involved, people act and people sign.
Every AI suggestion is logged and reviewable in a dedicated AI Suggestion Audit, with confidence thresholds recorded. You can always see what the system proposed, what a person accepted or rejected, and when. For an NDIS audit, that trail matters as much as the decision itself.
The Departments
Thirty departments, six levels
Every department is documented to the same twelve-section structure — purpose, who uses it, where to find it, what is stored, step-by-step instructions, management workflow, compliance requirements, AI functionality, permissions, dependencies, common fixes and routine tasks.

Who Sees What
Access controlled to the individual record
Holding a role lets someone use a page in principle. Record Permission decides whose files actually appear inside it. Care Connect is allocation-based and fail-closed: a person sees a participant only where access has been explicitly granted — never by default.
Support coordinators
External coordinators get limited participant visibility — the people they coordinate, and nothing else. No roster, no staff files, no other participants.
Behaviour support practitioners
Recorded against the participant through the Health Team, alongside the behaviour support plan and any restrictive practice authorisations they oversee.
Plan managers
Held on the participant profile for plan-managed participants, so invoices go to the right payer without exposing anything about the participant’s supports.
Auditors
Internal QA or NDIS Commission reviewers can be granted read-only access to evidence for a defined scope — able to verify, never to alter.
The most sensitive material — the Confidential tab — sits behind a separate, higher permission again. Every grant is recorded, so you can show an auditor not just who had access, but when it was given and by whom. This is how the platform meets NDIS Practice Standard 1 on rights, privacy and dignity.
Built By People Who Use It
Built by a provider, for providers
Care Connect comes from Ambience Care WA, a family-owned disability support provider in Perth. We built it because we were living the problem: brilliant support workers losing hours to paperwork, and compliance that only ever felt under control the week after an audit.
Every department exists because a provider needed it on a real day, with real participants and a real deadline. That is the difference between software written for the sector and software written from inside it.
Role-based from the ground up
Provider admins, operations and roster managers, team leaders, HR, support workers, accounts and payroll, and read-only auditors each see what their role requires.
Runs in the field
Support workers run a whole shift from a phone — accepting shifts, clocking on and off, dictating notes, recording medication, raising incidents and acknowledging policies.
Secure by default
Two-factor authentication is mandatory on every account, and each organisation’s data sits inside its own tenant boundary.
Documented, not improvised
The platform ships with a controlled operations manual covering every department and end-to-end workflow, kept versioned alongside the software.
Frequently Asked Questions
What is Care Connect?
An NDIS care management and compliance platform covering thirty operational departments — participants, staff and HR, rostering, shift notes, incidents, medications, risk, complaints, policies, compliance and audit, training and credentials, finance, and data retention — with AI assisting throughout.
Who uses it?
Support workers, team leaders, roster managers, operations managers, provider admins, HR, accounts and payroll, learning and development, and NDIS auditors. Auditors can be granted read-only access to evidence without seeing anything else.
What does the AI actually do?
It extracts details from uploaded Service Agreements, NDIS Plans, certificates and risk registers; transcribes spoken shift notes; structures incident narratives and suggests severity; ranks worker-to-shift allocations with its reasoning shown; and drafts policies in your organisation’s voice. Everything it produces is a draft or suggestion for a person to accept, edit or reject.
What will the AI never do?
It will never administer, chart or decide a medication outcome, approve a dose, override a PRN cap, or record an administration. Nor can it publish a policy, commit a roster, or approve a timesheet or invoice on its own — each of those is treated as a decision belonging to an authorised person.
Can we see what the AI suggested?
Yes. A dedicated AI Suggestion Audit records every suggestion with its confidence threshold, and what a person did with it. That trail forms part of your audit evidence.
Does it work on a phone?
Yes. Support workers run a whole shift from a phone or tablet — accepting shifts, clocking on and off, writing or dictating notes, recording medication, raising incidents and acknowledging policies.
Does it connect to our accounting system?
Timesheets and invoices are generated from completed shifts and export to Xero and MYOB, with invoice numbers and export timestamps tracked to prevent duplicates.
How secure is participant data?
Two-factor authentication is mandatory on every account. Access runs on two separate layers: role-based access control for what someone can do, and a record-permission layer controlling access to individual confidential participant and HR records. Each organisation’s data sits within its own tenant boundary.
